Self-Drive Car Rental Checklist: What to Check Before You Drive Away

Picking up a rental car is exciting, and that excitement is exactly when people skip important checks. A few minutes of attention at the start can save you from disputes, unexpected charges and stress later.

This checklist walks you through everything worth verifying before you leave the pickup point, from paperwork to the condition of the tyres. Keep it handy on your phone for your next booking.

1. Carry the Right Documents

Rental providers need to verify who is driving their vehicle. While requirements can vary, most ask for:

• A valid original driving licence that is not expired and covers the vehicle class
• A government ID such as an Aadhaar card, passport or voter ID
• Address proof, in some cases
• A payment method for the rental amount and any refundable security deposit

Check these the night before. Photocopies or screenshots are often not accepted for the driving licence, so carry the original. If you are an international visitor, ask in advance whether an International Driving Permit is required along with your home licence.

2. Read the Rental Agreement Properly

It is tempting to scroll and sign. Instead, spend five minutes reading the key terms:

• Rental period and grace time. What time must the car be returned, and is there a late fee?
• Kilometre limit. Many rentals include a daily limit, with a per-kilometre charge beyond it. This matters for outstation trips.
• Fuel policy. Are you expected to return the car with the same fuel level?
• Security deposit. How much is it, how is it held, and when is it refunded?
• Cancellation and extension rules.
• Geographic restrictions. Some agreements limit where you can take the car.

If anything is unclear, ask before you sign, not after.

3. Walk Around the Exterior

Before accepting the keys, circle the car slowly in good light. Look for:

• Scratches, dents and scuffs on every panel, including bumpers and mirrors
• Cracks or chips on the windscreen and windows
• Condition of headlights, taillights and indicators
• Alloy wheel scrapes
• Alignment gaps between body panels

Take clear photos and a short video from all four sides, including close-ups of existing damage. Make sure the pickup staff note every mark on the vehicle condition sheet. This record protects you from being charged for damage you did not cause.

4. Check the Tyres

Tyres are your contact with the road, so give them real attention.

• Look at tread depth. Worn or bald tyres are unsafe, especially in the rain.
• Check for bulges, cuts or uneven wear.
• Confirm that the spare tyre is present and properly inflated.
• Make sure the jack, wheel spanner and tools are in the boot.

5. Inspect the Interior

Step inside and check:

• Seats, upholstery and floor mats for stains or tears
• Seatbelts, which should all lock and retract smoothly
• Dashboard for warning lights when the engine starts

• Infotainment, Bluetooth, charging ports and power windows
• Horn, wipers and washer fluid
• Boot space and cleanliness

Photograph any existing marks or smells that were not noted. If the AC is weak or any warning light stays on, ask for a replacement or a fix before you leave.

6. Verify Fuel Level and Odometer

Photograph the fuel gauge and the odometer reading before you start. These two photos settle most return-time disagreements. Confirm how the fuel policy works and what happens if you return the car with less than you received.

Also note the fuel type, petrol, diesel or CNG, so you do not fill the wrong one by mistake. It is a surprisingly common and expensive error.

7. Confirm Vehicle Papers Inside the Car

The car should carry valid documents, typically including:

• Registration certificate (RC)
• Insurance certificate
• Pollution Under Control (PUC) certificate
• FASTag on the windscreen

Check that the insurance and PUC dates are current. Ask what the insurance covers and what your responsibility is in case of an accident, such as any deductible. Knowing this upfront avoids confusion if something happens.

8. Understand the Emergency Process

Ask the pickup team:

• Whom to call for a breakdown, and is the number active round the clock?
• What to do after an accident or a police stop
• What to do if the FASTag has a problem
• Whether roadside assistance is included

Save the numbers in your phone before leaving. If you are travelling out of the city, you will be glad you did.

9. Adjust Everything Before You Move

Once you sit in the driver's seat, take a minute to:

• Adjust the seat, steering and mirrors
• Locate the handbrake, hazard lights and fog lamps
• Pair your phone
• Test the brakes gently in the lot

If you are not familiar with the car, particularly an automatic or an SUV with a different size, take a short test drive around the block. Do not hesitate to ask the staff to explain features you have not used before.

10. Plan the Trip Before Starting

A rental trip goes better when planned.

• Check your route and expected travel time

Before you leave, ask:

• Where exactly do I return the car, and until what time?
• Who will inspect it, and will I be present?
• How and when will the deposit be refunded?

Return the car a little early if possible. Refuel as agreed, remove all your belongings, and take another set of photos showing the final condition, fuel level and odometer. Ask for a signed or written confirmation that the car was returned without damage.
